BOOKING PROCEDURES
 | Call or email the camp office to request a reservation packet and check on site availability. (You may use the form at the end of this page.) |
| Verbally reserve a date with the camp office. This will be held for two weeks. |
| Mail in reservation forms with $100 non-refundable deposit to secure facilities. |
| Call the camp office with minimum and maximum numbers at least one month prior to the rental date. |
| Submit schedule at least one month prior to the rental date. |
Multi-Group Bookings
Haycock reserves the right to book multiple groups for the same weekend. In order to reserve the camp exclusively, groups must come for two nights and bring more than 75 people.
Minimum Guarantee
Groups must list a minimum number of persons expected to attend. The group will be required to pay for at least this amount. This number must be submitted one month prior to the rental date.
A maximum number is also required. We cannot guarantee there will be space for more than this number, although it is often available. (The maximum guaranteed number cannot exceed the minimum guaranteed number by more than 25%.) If the minimum guarantee exceeds 75 people for two nights, a maximum guarantee is not required.
Schedule
Groups must submit a written schedule one month prior to the rental date. This will give the camp staff time to coordinate one group's schedule with another's. This will also allow time to schedule the staff for camp-run activities such as horses, ropes course and hayrides.
List of Participants
Upon arrival, groups are required to submit a complete list of attendants' names, addresses, phone numbers, etc. (See Individual Form)
Payment
Payment in full is expected prior to a group's departure. Cash or check are accepted (request pre-approval from the office if using a credit card).
